Credit transfer (advanced standing) and recognition of prior learning

Application for credit transfer and recognition of prior learning

Use this form to apply for credit transfer towards your USC program for study completed at another institution, or to apply for recognition of prior learning (RPL). RPL is the process of assessing knowledge and skills developed through other learning, informal studies or work-related learning, to determine whether the skills and knowledge contribute to meeting the learning outcomes and assessment criteria of a course or program at USC.

Cross-institutional study

Cross-institutional study approval

This form is for current USC students who wish to study courses at another university and have those courses credited towards their USC degree program.

Examinations, assessment and results (grades)

Application for deferred examination

This application form is for students seeking a deferral of their final examination held during the centrally scheduled examination period.

Note: Any enquiries in regards to assessment due or in-class examinations during Teaching Period, please contact your Faculty Administration office. (Arts, Business and LawScience, Health, Education and Engineering).

Application for review of final grade form

This form is to apply for a review of final grade for a course (including a final exam paper).

Fees and refunds

Application for pre-2010 Commonwealth Supported Student

This form is to be used by students who studied in a Commonwealth supported place prior to 31 December 2009.

Application for refund - Domestic student

A full refund may be approved for a student who defers study, takes a break from study or withdraws indefinitely from study. The refund application can be directly submitted through USC Central and funds are electronically transferred into a student’s Australian bank account.

To apply for a refund

  • Logon to USC Central

  • Select My Account

  • Enter your bank accounts details if not previously recorded

  • Select the Refund Tab

  • Complete and submit the refund Application

  • An electronic copy of the Refund application will be available to view online

Allow up to 14 working days from the date the application is submitted for your refund to be processed and deposited into your bank account.

Note : Students who wish to have refunds deposited into an overseas bank account must complete an Application for refund - International student form.

Application for refund - International student

International students applying for a refund must complete this form.

Allow up to 28 days from the date the completed application is submitted for your refund to be assessed, processed and deposited into your nominated bank account.

International students are recommended to contact USC International for advice on eligibility for refunds.

This form is to apply for removal of a student's financial liability and academic penalty where special circumstances have affected their ability to successfully complete studies. Students must read the Guidelines attached to the form, and are also strongly advised to consult with Student Central before applying.

Financial assistance

OS-HELP assistance form

OS-HELP is a Commonwealth Government loan program that provides financial assistance to eligible students wishing to undertake part of their undergraduate degree program overseas.

Headstart students

Headstart continuing enrolment

If you are a current Headstart student who have successfully completed your first course, you can take up the option to complete a second course. Refer to apply for a second Headstart course for more information.

Personal details - change request

Change of citizenship / residency details

When your citizenship and / or residency details have changed, you must submit this form with supporting documentation. If you are granted Australian Citizenship status you may be eligible for HECS-HELP, OS-HELP, FEE-HELP, SA-HELP.

How to apply

  1. Complete the form
  2. Attach certified copy of supporting documentation (eg evidence required is detailed on the form below). Note: Original document can be photocopied and sighted by Student Central staff when submitting
  3. Submit to Student Central via mail or in person

When to apply
You must submit the form and required evidence before the fee due date of the study period. Check each semester / session's fee due date on the academic calendar.

Change of address

Domestic students
You can update your mailing and permanent address on USC Central.

International students
You can only update your mailing address on USC Central. To change your permanent address you must submit the request form below.

Note: Your permanent address must be your home country's address.

Change of personal details

This form is to be used by students who wish to correct or change their name, title, DOB or gender. Note: You can amend your preferred name on USC Central, however this change will not be reflected on your official USC record.

How to apply

  1. Complete the form
  2. Attach copy of supporting documentation (eg citizenship certificate, Visa on the passport).
  3. Submit the form and documents to Student Central via mail or in person

Program, enrolment and progression

Registration of Majors / Minors

Most undergraduate programs allow students to select a major and minor area of study. Eligibility and requirements to do so are indicated in your program Study Plan.

These forms are to register your major / minor teaching areas if you are enrolled in a combined education program (pre-Semester 2, 2014), or a double education program (from Semester 2, 2014)

This form is to apply for enrolment in Tertiary Preparation Programs to assist undergraduate students to successfully progress in their studies.

Enrolment Permission

This form is for when special permission or instructor consent is required to enrol into a course.

Enrolment Permission - Exceeds Maximum Courses Per Semester

This form is used when you wish to enrol in a fifth course for a semester.

This form is for when you need to be enrolled into a course where there is a time conflict.

Application for change of program (undergraduate)

If you have completed or due to complete at least one semester of study in a undergraduate program, you are eligible to apply for change of program.

Please note: Applications to change program for semester 2 2015 have closed. Applications to change program for semester 1 2016 will open on Tuesday 1 September 2015.

Application for change of program (postgraduate)

As a postgraduate student, to change to a different postgraduate program you will need to re-apply for the new program using the Application for Postgraduate Coursework form

Application for removal of financial liability and / or academic penalty in special circumstances

This form is to apply for removal of a student's financial liability and academic penalty where special circumstances have affected their ability to successfully complete studies. Students must read the Guidelines attached to the form, and are also strongly advised to consult with Student Central before applying.

Application for suspension of study (taking a break from study)

A student who has had an enrolment in at least one study period can take up to two years off from studying. However, students should be aware of any impacts this might have on their enrolment for future study and should look closely at the course prerequisites and requirements before making this decision.

Domestic students
Domestic students may request a leave of absence, which means you are taking a break from study. If you have been enrolled in at least one study period you may take leave for up to two successive Study Periods (that is 12 months duration). In special circumstances students may apply for an additional period of leave of absence for a further two Study Periods (that is for a maximum of 2 years absence). Your place in your program will be held whilst on approved leave, however you need to be aware of any impact in planning your remaining courses. Review your program structure, program requirements and recommended study sequence before you make this decision.

International students
All international students are strongly recommended to consult with USC International before applying. To apply, complete the form and submit to USC International.

Withdrawal from program

Domestic students
To withdraw from your program and cancel your enrolment, login and proceed on USC Central.
Note: Once you have withdrawn and if you decide to resume your study, you are required to re-apply for admission.

International Students
International students are strongly recommended to consult with USC International before withdrawal because this may affect the validity of the Student visa. To withdraw from the program complete the form below and submit to USC International.

Requesting documentation and Academic Record (transcript)

Replacement testamur

Graduates can request the replacement of their testamur (degree certificate) if lost, damaged or due to name change.

Request for Official Academic Record (transcript)

An Official Statement of Academic Record (transcript) is a certified document detailing your academic record at USC.

Request for Official Letter

An Official Letter is a certified statement verifying your current enrolment at USC.

Allow at least five business days from the time of submission for the processing of the request. At times of peak demand delays may occur.

Request for transfer and Letter of Release

This form is to be used by student visa holders who prior to completing six months of their primary program of study at USC, wish to be released from their studies at USC to transfer to another CRICOS registered provider in Australia.

Submission of external Academic Record / transcript

This form must be submitted to Student Central with your external Academic Record / transcript if you have:

  • submitted an application form and are required to provide an external Official Academic Record or transcript; or
  • completed cross-institutional study at an external institution and obtained an Official Academic Record or transcript
