1. Purpose of policy

This policy provides an operational framework to enable a coordinated approach for the implementation of surveys of the University’s students across the University. The policy is not intended to constrain initiatives in gathering feedback from students via surveys. It does, however, aim to assure or improve the quality of such surveys and to monitor the frequency with which students are asked to participate in surveys.

2. Application of policy

This policy applies to any staff, student or agent of the University and any external organisation that wishes to conduct a survey of the University’s students.

3. Purpose and principles of student surveys

3.1 The University uses student surveys for a variety of purposes including: to inform planning; review service delivery; quality assurance and quality improvement, and; as part of the research undertakings of its staff and students.

3.2 The University may also be invited or required to participate in surveys of students which are initiated by external organisations.

3.3 A survey initiated from within the University should exhibit the basic principles and methodologies of sound survey design.

4. Ethics and Intellectual Property requirements

4.1 Materials published by the Office of Research must be referenced regarding research ethics requirements for surveys of students.

4.2 Materials published by the Office of Research should be referenced on matters pertaining to intellectual property in respect of data and information gathered via student surveys.

5. Application for approval to survey students

5.1 With the exception of surveys mandated by the University Executive, State or Federal authorities, an application for approval to survey students must be made to the Strategic Information and Analysis Unit regardless of whether the survey is initiated from within or external to the University.

5.2 An application for approval to survey students initiated by staff for strategic planning or quality assurance purposes must be approved by the appropriate Dean or Cost Centre Manager.

5.3 The Strategic Information and Analysis Unit may set conditions of approval for implementation.

5.4 Automatic approval for the implementation of a student survey will be granted where research ethics approval has been obtained from the Office of Research but may be subject to conditions.

6. Access to surveys, data and findings

6.1 The Strategic Information and Analysis Unit may request from the Survey Manager a copy of the instrument, data or findings of surveys administered for strategic planning or quality assurance purposes to enable the triangulation of student perceptions and efficiencies in survey development.

7. Monitoring student surveys

7.1 The Strategic Information and Analysis Unit will maintain the Register of Approved Student Surveys and the Schedule of Approved Student Surveys.

7.2 The Strategic Information and Analysis Unit will provide a summary of surveys undertaken at least annually to the Deputy Vice-Chancellor (Academic).

8. Responsibilities

8.1 The Survey Manager is responsible for the range of activities associated with the design, implementation, and publishing of survey findings, obtaining appropriate ethics clearances and applying appropriate information privacy practices.

8.2 The Strategic Information and Analysis Unit will monitor compliance with this policy and associated procedures and maintain the accuracy of content.

8.3 The Deputy Vice-Chancellor (Academic) is responsible for ensuring compliance with this policy and associated procedures.
